Full-Time; Exempt StatusReports to: President + CEO The Executive Assistant serves as a valuable member of the Waterville Creates (WC) organization and provides critical administrative and organizational support to the President + CEO, the Director of Development, and the leadership team of WC.
This position serves as a key administrator and provides high level support for board of directors’ and committee meetings and special projects as needed. The Executive Assistant works closely with the President + CEO to ensure institutional priorities are met, organizational goals are achieved, and best practices are met. Essential Duties/Responsibilities Coordinates schedule, meetings, and logistics on behalf of the President + CEO. Supports the leadership team and Director of Development with coordination of meeting logistics, including scheduling, preparation, and distribution of meeting agendas. Prepares and circulates materials and records minutes for board, committee, and all-staff meetings. Upon review, distributes minutes in a timely manner to board and committee members. On behalf of President + CEO, gathers and compiles staff reports in advance of bimonthly board meetings. Provides general research and data support to the Director of Development for annual reports, grant applications, development planning, donor prospecting, and other projects as requested. Provides support for internal and external survey development, collection, and analysis, including annual board self-assessment employee survey, and patron survey. Maintains updated board of directors’ roster, including contact information, board term dates, and conflict disclosure records. Prepares donor, sponsor, and grant acknowledgements and membership renewal and acknowledgement letters. Coordinates scheduling of all-staff training and professional development opportunities. Provides additional support as needed for WC events and activities. Performs all other related duties as assigned. Knowledge/Skills/Experience Requirements A bachelor’s degree, associate’s degree, or 4 years’ experience in providing executive administrative support services. Passion for and dedication to arts, culture, artists, and community initiatives. Exceptional writing ability, editing skills, ability to work independently and as part of a collaborative team is required. Excellent time management and ability to meet as well as anticipate deadlines. Ability to handle multiple assignments simultaneously and prioritize assignments; exceptional aptitude for creative thinking and problem-solving skills are essential. Outstanding tact and discretion; ability to work enthusiastically with a diverse range of staff and stakeholders. Ability to manage strict confidentiality with all materials is essential A criminal background check is required.
