Key Responsibilities of the Position: Warm Welcome: Greet clients, visitors, and phone callers with a friendly and professional demeanor. You’ll be the first point of contact, setting the tone for their experience with us. Administrative Support: Handle front desk operations, including answering phones, scheduling appointments, taking messages, and managing incoming and outgoing mail.
Document Management: Assist with filing, organizing, and retrieving legal documents and records. Client Interaction: Provide excellent customer service by addressing client inquiries and ensuring their needs are met promptly, competently, and courteously. Light Housekeeping: Perform light cleaning duties, such as emptying trash, washing dishes, vacuuming, restocking coffee and beverages, etc. Occasional Office Errands: Delivering documents and mail to nearby courts, post office, and bank This position will have the following schedule: Monday - Friday, 8AM-4:30PM. Tech-Savvy: Proficiency in office software and basic technology is an absolute must. We are a more modern firm that relies heavily on technology. Only individuals who are computer savvy will excel in this position. Experience with MyCase legal management software is a plus, but not required. Team Player: You thrive in a collaborative environment and are always willing to lend a hand where needed. Qualifications: Previous experience in a receptionist or administrative role preferred. High school diploma or equivalent required; some college preferred. A positive attitude, outgoing personality, and a genuine desire to contribute to a friendly workplace. Valid Driver's License with reliable transportation. Must successfully pass background check. Must be eligible to obtain State of Maine Notary certification if not already certified.
