Location: Waterville, ME (In-Office) Firm: Dominion Law, LLC PA Pay Range: $17.00 – $18.50 / hour

Role Overview

Dominion Law, LLC PA is a stable, growing, family-owned firm in Waterville specializing primarily in Criminal Defense, Family Law, and Estate Planning. As we prepare for future expansion, we are seeking a high-maturity professional to serve as our Legal Intake & Office Stewardship Coordinator.

This is a multi-faceted role for someone who takes pride in "owning" their workspace. You are the first point of contact for clients in crisis and the primary caretaker of our office environment. We are looking for a "Type A" teammate who finds satisfaction in order, precision, and proactive learning.

Key Responsibilities

Strategic Intake & Phones: Manage incoming inquiries across multiple practice areas. You will screen leads, gather vital information, and ensure no unauthorized legal advice is given while maintaining a professional, friendly, and calm demeanor.

Database Integrity (MyCase): Using our practice management software, you will follow strict checklists to audit client files, verify data, and ensure all digital records are 100% accurate.

Office Stewardship (Housekeeping): We maintain a "court-ready" environment. You will be responsible for daily upkeep, including managing office trash/recycling, kitchen dishes, restocking supplies, and ensuring the lobby is pristine for clients.

Signing Support: Act as a primary Notary and witness for Estate Planning signings. You will coordinate the "signing ceremony" and ensure all legal formalities are executed flawlessly.

Proactive Professional Development: In a law firm, there is no such thing as "nothing to do." During quiet periods, you are expected to seek out opportunities to learn—whether by reviewing our handbook and training materials, mastering new MyCase features, or studying redacted files to better understand legal workflows.

The Ideal Candidate

High Reliability: You have a dependable commute and value a consistent, focused 8:30 AM – 4:30 PM schedule.

Process-Driven: You love a good checklist and believe that if a job is worth doing, it’s worth doing right the first time.

Maine Notary Public: Current Notary status is a plus; otherwise, you must be willing to become one immediately (Firm-funded).

Professional Focus: This role requires 100% engagement. Our office is a professional environment free from personal distractions (schoolwork, personal reading, or unauthorized electronics) during business hours.

Valid Driver's License: This role requires a valid driver's license and reliable transportation due to the occasional need for running errands.
